Upstream Tech is a climate tech software company enabling better decision-making around natural resource management. We have two software products, Lens and HydroForecast, and hundreds of customers. We are seeking a Business Operations Assistant to join our team to support admin, HR, and other activities across the team.

Role
This role will be based in the Somerville, MA, area in order to support administrative activities out of our home office at Greentown Labs. This role can be primarily remote but the job responsibilities will require at least weekly in-person visits to Greentown Labs for administrative coordination.
As a Business Operations Coordinator at Upstream Tech, you will be responsible for enabling the smooth coordination and functioning of our team - supporting and problem-solving across HR, operations/IT/legal, and accounting/finance.
Responsibilities
This role will encompass a broad range of responsibilities and create opportunities to work with colleagues across the team. We see this role as a critical “glue” role helping us operate efficiently and grow thoughtfully.
Responsibilities will span a number of categories:
Team Ops & Human Resources
Coordinate hiring processes to ensure fair and consistent hiring processes, including posting and monitoring roles on job boards and managing interview kits
Manage onboarding and offboarding logistics for remote team members
Monitor team time off and expense reporting
Support running payroll
Monitor state compliance and communications around HR policies (e.g., Paid Leave)
Manage communication of compensation and HR notices to employees
Assist with managing and implementing team training and engagement opportunities
Operations / IT / Legal
Lead planning on annual company retreat, including travel coordination and compiling an agenda
Coordinate team technology including basic troubleshooting and inventory management
Own record-keeping processes and hygiene (e.g., Google Drive, legal agreements)
Manage inboxes and communications for accounting and operations
Coordinate team and customer engagement (e.g., gifts, experiences)
Support logistics (e.g., shipping/receiving) for conferences and other events in person at Greentown Labs
Accounting / Finance
Track and file recurring tax reporting
Manage check receipt and deposits in person at Greentown Labs
Support audit data compilation & requests
Monitor accounting inbox and communicate with customers and internal Customer Success teams as needed to ensure proper functioning of accounts receivable
Support 401k management processes and reporting
Track purchase orders
Coordinate payment for contractors
Executive Support / Other
Provide executive assistance to senior leadership on an as-needed basis, e.g., scheduling and travel support
Requirements:
Bachelor's degree in a related field
1-3 years of work experience, preferably in HR, operations, or administration
High level of attention to detail and a focus on getting things right the first time
Strong project management skills, with a proven ability to handle multiple projects efficiently
Self-starter who can independently move projects forward, prioritize tasks, and meet deadlines
Excellent organization, presentation, and written communication skills

Compensation & Benefits
Starting pay for the successful applicant will depend on a variety of job-related factors, which may include job-related knowledge, skills, experience, market location, business needs, other compensation components, and/or market demands. The starting base salary range for this role is $65,000-70,000 per year. This range may be modified in the future.

Location
Remote, commutable to Somerville, MA. Our headquarters are at Greentown Labs in Somerville, MA. For this role, we are seeking someone who can be at Greentown Labs ~1 day per week or more if desired.
We conduct business using technologies like Slack and video conferencing. We get together for an annual in-person trip to work, bond, and celebrate our successes.
