The National LGBT Chamber of Commerce (NGLCC) is a dynamic non-profit organization working to expand the economic opportunities of lesbian, gay, bisexual, and transgender (LGBT) owned businesses. NGLCC is currently seeking a self-motivated full-time team member to serve as an assistatant to the NGLCC Executive Vice Presidents.

Position Summary
The Executive & Projects Assistant will play a pivotal role in supporting the activities of NGLCC’s Executive Vice Presidents (EVPs) of Programs & External Affairs and Finance & Operations. This individual will serve as the primary point of contact for internal communication between the EVPs and the broader team, ensuring that deadlines, project updates, and meeting requests are efficiently managed and communicated. The role is designed to support the EVPs in maintaining strong relationships with internal and external stakeholders while also playing a crucial role in the execution of special projects and events. This role requires a high level of customer service, strong organizational skills, adaptability, and exceptional attention to detail. The ideal candidate will have experience in supporting project, program, and event delivery from development to execution, including building out timelines, as well as with communicating with vendors and stakeholders. The individual in this role should be experienced in managing executive calendars, travel arrangements, expenses, and administrative tasks, with a particular focus on supporting the execution and management of special projects. The individual should be proactive, capable of working independently, and possess strong written and verbal communication skills. Additionally, the role demands the ability to manage sensitive information with discretion and to handle multiple priorities in a fast-paced environment.

Key responsibilities include coordinating logistics for programs and events, providing administrative support for program delivery, and assisting with the drafting and editing of stakeholder communications and reports, among others. The individual in this role should be able to work with discretion, confidentiality, and integrity in handling sensitive information. The Executive & Projects Assistant will also manage follow-up tasks post-events, such as sending thank you notes and compiling meeting summaries, ensuring a seamless execution from start to finish. The successful candidate will excel in problem-solving within a dynamic, entrepreneurial environment, managing the details of special projects, various executive calendars, and travel schedules. Strong interpersonal skills are essential, as is the ability to build and maintain professional relationships with internal and external stakeholders. This role requires a commitment to developing and mastering the skills necessary to support senior executives effectively.

NGLCC is seeking a professional willing to make a multi-year commitment to this position, as significant relationship-building and skill-mastery will be developed. This role will be remote and will require infrequent domestic and international travel.

Responsibilities

• Report to and directly work with the Executive Vice Presidents overseeing Programs & Stakeholder Engagement and Finance & Operations

• Collaborate with NGLCC team members with administrative and project functions on vital tasks/projects on behalf of the Executive Vice Presidents

• Support administrative project functions in building timelines and drafting correspondences, letters of invitation, reports, and other documents

• Perform project and vendor research, data collection, and cost analysis

• Aid in and facilitate the composition of crucial communications; vetting e-mails, tasks, and appointments on a daily basis

• Coordinate and communicate calendar scheduling and management

• Assist in managing, prioritizing, and delivering on executives’ workloads and deadlines

• Support the preparation of reports, letters of invitation, presentations, among other administrative functions

• Coordinate all-team meetings/events, including support for and oversight of all-team communications, and serve as a main point of contact for internal communications to the EVPs related to deadlines, projects, and meeting requests, among others

• Prepare and coordinate EVP meetings including preparing agendas, taking notes, and ensuring meeting logistics are completed

• Aid in program and event delivery support

• Aid in travel and bookings for EVPs

• Oversee the smooth operation of weekly team meetings, annual retreats, etc., as well as other administrative responsibilities as assigned, both independently and with other members of the NGLCC Team

• Provide support for EVP attended or hosted programs and events, ensuring logistics and smooth execution, in some cases in person

• Maintain the highest level of confidentiality and discretion

• Support the administrative functions of the office of the NGLCC Co-Founders when the Assistant to the Co-Founders is out of office, on paid time off, or on leave

• Other administrative tasks as assigned

Requirements

• Bachelor’s Degree and/or proven relevant experience

• Strong interpersonal, professional, verbal, and written skills

• Demonstrated ability to organize, set, and implement priorities, as well as to manage multiple tasks

• Exceptional attention to detail

• Minimum of 1-2 years of experience in a professional environment, preferably with project support and administrative tasks

• Demonstrated ability to take initiative and thrive in an entrepreneurial atmosphere

• Excellent interpersonal skills both in person and by phone, with high professionalism

• Ability to lift 30 pounds

• Capacity to move 50 pounds

• Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges; Zoom and other virtual meeting platforms; email and web searches

• Ability to work in a virtual environment

• Must have reliable technology/internet and a secure working environment
