Introduction

The digital ambition, the mission and vision of Living-in.EU is more alive than ever: create a cohesive, digital Europe where every city and community can enjoy the economic and social benefits of green and digital transformation. Living-in.EU supports the European way of digital and green transformation by engaging cities and communities at the European level to develop, (re-)use and share trustworthy solutions, technology, and standards. 

A strong foundation has been developed based on the work already done. The Governance of the Living-in.EU Community (Go Li.EU) project addresses the call DIGITAL-2021-DEPLOY-01-LIVING-EU and wants to speed this process up in line with the European ambition, strategy, legislation, projects and 2030 goals of the Digital Decade. 

This Privacy notice provides you with information about the processing of your personal data by Go Li.EU consortium when you become a member of Living-in.EU community. This page informs you about the different data processing activities carried out, and the necessary details to understand how we process your personal data to allow you to exercise your rights and be under control of your personal data. 

Controllers of your personal data

This Privacy Statement concerns the data processing activities carried out in the context of the Governance of the Living in EU (Go Li.EU) project by consortium partners, who are joint controllers of your personal data. 

  1. EUROCTIES ASBL, (headquarters located at Square de Meeus 1, 1000 Brussels, Belgium, enterprise number 447.820.987), the Coordinator of the consortium, and  

  1. ENoLL, (headquarters located at Avenue des Arts 6, 1210 Brussels, Belgium, enterprise number 824.793.473) 

  1. ERRIN, (headquarters located at Rue du Luxembourg 3, 1000 Brussels, Belgium, enterprise number 885.520.027) 

  1. OASC, (headquarters located at Rue du Luxembourg 19-21, 1000 Brussels, Belgium, enterprise number 686.623.804) 

  1. CEMR, (headquarters located at Square de Meeus 1, 1000 Brussels, Belgium, enterprise number 544.372.611). 

For this purpose, they have signed a Joint Controllership Agreement where they determine their respective responsibilities regarding the processing of your personal data. EUROCITIES ASBL is the coordinator of the project and the main contact point that you can refer to, to exercise your rights as data subject. 

1. When you browse our website

 

Purpose. We process your personal data (traffic data) to provide you with access to our website www.living-in.eu and to make sure it stays secure. 

Legal bases. (A) Your consent to receive our website. (B) Our legitimate interests to provide you with a secure website. 

Categories of personal data. Traffic data, log data.  

Storage period. 100 days. 

Processors. Currently, our hosting provider is Hostinger. Moreover, we rely on Matomo Analytics for the collection of anonymised website analytics (e.g., anonymised IP address). 

Other recipients of your personal data. We do not share any personal data with other recipients. 

Transfers of personal data to third countries. We do not transfer personal data to third countries. 

Cookies. We only use functional cookies for optimal functioning of the website. 

2. When you become a member of Living-in.EU community

 

Purposes. We process your personal data when you register on the platform to become a member of the Living-in.EU community as signatory, supporter, or member. 

  • If you want to submit a signed declaration on behalf of an EU local, regional, or national public authority, you need to register as a Signatory. 

  • If you want to support the declaration as any other type of stakeholder, you need to register as a Supporter. 

  • If your organisation is already a signatory or supporter, or you would like to join the platform and activities, you need to register as a Member.

 Signatory representative and contact point. The purpose of processing your personal data is to consider you a signatory of the Living-in.EU declaration and promoter of proven digital solutions. This entails that you provide us with your consent to offer you Living-in.EU services through our platform, which include: 

  • being part of a network of signatories, 

  • exchange knowledge with that network, 

  • participation in thematic working groups of your interest, 

  • access to tools, solutions, and projects of your interest. 

We obtain your consent for the processing of your personal data to: 

  • send you invitations to Living-in.EU events; 

  • inform you about Living-in.EU news, updates, consultations. 

  • For anonymised statistics purposes. 

Supporter representative. The purpose of processing your personal data is to consider you a supporter of the declaration. This entails that you provide us with your consent to offer you Living-in.EU services through our platform, which include: 

  • being part of a network of supporters, 

  • knowledge exchange within that network, 

  • access to meetings of thematic working groups of your interest, 

  • access to tools, solutions, and projects of your interest. 

We obtain your consent for the processing of your personal data: 

  • to send you invitations for Living-in.EU events, 

  • inform you about Living-in.EU news, updates, consultations. 

  • For anonymised statistics purposes. 

Member of the platform. The purpose of processing your personal data is to offer you Living-in.EU services through our platform. These services include: 

  • participation in thematic working groups of your interest 

  • knowledge exchange within that network, 

  • access to meetings of thematic working groups of your interest, 

  • access to tools, solutions, and projects of your interest. 

We obtain your consent for the processing of your personal data to: 

  • to send you invitations for Living-in.EU events, 

  • inform you about Living-in.EU news, updates, consultations. 

  • For anonymised statistics purposes. 

Legal bases. (A) Your consent to become a member of Living-in.EU community, as a signatory, as a supporter, or member of the platform and have access to the services listed above (B) Your consent to send you invitations to events and signatories’/supporters’ meetings. (C)Our legitimate interests to boost and govern Living-in EU movement and comply with the obligations set out in our Grant Agreement with the European Commission. 

Categories of personal data per data subject: 

  • Signatory of the declaration representative: title, first name, surname, email address, position, organisation name, public administration level, signature, country. 

  • First contact of the signatory of the declaration representative: title, first name, surname, email address, role, phone number, country. 

  • Supporter of the declaration representative: title, first name, surname, email address, position, organization name, type of organization, expertise of organisation, nationality, motivation. 

  • Member of the platform: title, first name, surname, email address, position, organization name, country 

Storage period. We start processing your personal data when you complete your registration as a member of the Living-in.EU community, and we end processing your personal data when you delete your account as a member of the platform. You can request the deletion of your data at any moment. 

Processors. Currently, our hosting provider is Hostinger. 

Other recipients of your personal data. We do not share any personal data with other recipients. However, when you decide to become a participant of a working group within the Living-in. EU community, you should know that all other members within that working group will be able to see your data (name, profile photo).  

Transfers of personal data to third countries. We might transfer personal data to third countries since our hosting provider relies on sub-processors located in third countries. For this, we rely on EU standard contractual clauses, and adequacy decision for transfers to the UK. 

3. When you join one of the working groups

 

Purpose. We process your personal data to give you access to the closed collaboration space for that specific working group that you have requested to join. 

We obtain your consent for the processing of your personal data to: 

  • Include you in the mailing list of the working group, which is stored on a closed and secure Microsoft-powered shared drive between the Joint Controllers. 

  • Send you information and updates about the work plan, events, and activities of the working group. 

  • Make your personal data visible to other members of that working group. 

  • Invite you to submit your interest to chair the working group. 

Legal bases. (A) Your consent when requesting membership to the working group.  

Categories of personal data. Same as the data in the registration form. 

Storage period. From the approval of the membership to the working group until you request your removal from the working group at any moment. …. . 

Processors. Currently, our hosting provider is Hostinger, and our cloud service tools are Microsoft Share Point and Google Drive. 

Other recipients of your personal data. We do not share any personal data with other recipients. 

Transfers of personal data to third countries. We might transfer personal data to third countries since our hosting provider relies on sub-processors located in third countries. For this, we rely on EU standard contractual clauses, and adequacy decision for transfers to the UK. Google and Microsoft servers are in the EU. 

4. When you participate in a Go Li.EU event

 

Please note that this is a generic Privacy note on the processing of personal data by Go Li.EU consortium for the organisation of events. Therefore, specific questions on the processing of your personal data in events might be different. For this, we refer you to the Privacy Statement for each dedicated event organised by a Go Li.EU consortium partner in the framework of Go Li.EU project: working group meetings, supporters meeting, stakeholder forums, info sessions for members and signatories events..  

Living-in.EU movement helps other related initiatives promote their events through its website. In such cases, Go Li.EU is not responsible for the processing of your personal data, and you should refer to the Privacy Statement of the third-party. 

5. When you subscribe to our newsletter

 

Purpose. The purpose of processing your personal data is to keep you updated and informed about upcoming events, new developments, and publications of Go Li.EU project. 

Legal basis. Your consent to subscribe to our newsletter. 

Categories of personal data. Email address. 

Storage period. We start processing your personal data when you subscribe to our newsletter, and we end processing it when you unsubscribe to it. You can unsubscribe at any moment by clicking the “unsubscribe” button at the bottom of each newsletter. 

Processors. Currently, our newsletter provider is SendInBlue/Brevo. 

Other recipients of your personal data. We do not share any personal data with other recipients. 

Transfers of personal data to third countries. We do not transfer personal data to third countries. 

6. Links to other websites

Our website may contain links to other websites of interest. However, once you have used these links to leave our site, you should note that we do not have any control over those other websites. We cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the websites in question.

7. Privacy of minors

Our Service does not address anyone under the age of 16. We do not knowingly collect personal identifiable information from children under 16. In the case we discover that a child under 16 has provided us with personal information, we immediately delete this from our servers. If you are a parent or guardian and you are aware that your child has provided us with personal information, please contact us so that we can take the necessary action. 

8. Security

We take precautions to protect your information both online and offline. Only employees who need the information to perform specific actions are granted access to personally identifiable information. The computers/servers on which we store personally identifiable information are protected and kept in a secure environment. All passwords are encrypted and stored in our database.
